The postings run in the monthly Farm Bureau News on a month-to-month basis and concurrently on the Web site. Postings are limited to 40 words and must be related to agriculture. Submit job postings to Julia Misiego by the 20th of each month. Contact information for Julia follows the listing. Utah Farm Bureau Federation - Administrative Assistant - The Utah Farm Bureau is looking for an experienced Administrative Assistant to perform a variety of administrative and clerical tasks. The position will provide program assistance and administrative support to executive staff, and report to the Vice President of Administration. Additional responsibilities include the following:

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Maintain current database of mailing lists, labels, and e-mail addresses for programs coordinated by the department
  • Update content on Farm Bureau website
  • Coordinate travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to Farm Bureau members
  • Create and proofread handouts, duplicate and assemble handouts, and ship materials
  • Provide administrative and program support for Farm Bureau sponsored meetings. This includes: registration, conference room reservations, preparation of materials, handling correspondence, agendas, hotel reservations, mailings and catering. Occasional travel for on-site assistance is required.
  • Assist with membership
  • Assist with other duties as assigned

Interested applicants should possess excellent written and verbal communication skills, strong organizational skills with the ability to multi-task, and excellent interpersonal skills. Other requirements or qualifications include: 

  • Provide program assistance and administrative support to executive staff
  • Sensitivity to confidential matters
  • Project coordination experience
  • Proven experience as an administrative assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Ability to work well with all levels of management and staff, board of directors, committees, and members
  • Strong computer and Internet research skills
  • Ability to work in all social media formats

The administrative assistant works on a daily basis with all members of the Utah Farm Bureau Federation executive staff. Works with other Farm Bureau department members, volunteer leaders and sponsors as needed.
